Privacy Policy

Last updated: June 16, 2026

The Cooling Report is a newsletter and editorial publication covering data center cooling and thermal infrastructure. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it, including under the EU and UK General Data Protection Regulation (GDPR) and the California Consumer Privacy Act as amended by the CPRA (CCPA).

Who We Are

The Cooling Report is the data controller for the personal data described in this policy. For any privacy question or to exercise a right described below, contact us at privacy@thecoolingreport.com.

What We Collect

  • Subscription data. The email address you provide when you subscribe, and optionally a name, company, or role if you choose to share it.
  • Engagement data. Whether our emails are delivered, opened, and which links are clicked. This is standard email analytics used to measure what readers find useful.
  • Site usage data. When you visit thecoolingreport.com, our analytics providers collect standard technical information such as IP address, browser type, pages viewed, and referring source.

We do not knowingly collect special categories of personal data, and the publication is not directed at children under 16.

How We Collect It

Subscription data is collected only when you actively subscribe through a form on our website or a partner sign-up that clearly identifies The Cooling Report. We operate a confirmed opt-in model. We do not purchase, rent, or append email lists. Engagement and site usage data are collected automatically through our email and analytics providers when you open an email or visit the site.

Why We Use It, and Our Legal Basis

  • To send the newsletter and related editorial content you asked to receive. Legal basis under GDPR: consent.
  • To measure and improve engagement and understand which topics serve readers. Legal basis: legitimate interest in running and improving the publication.
  • To report aggregate audience metrics to sponsors. Sponsors receive aggregate, de-identified figures only, such as total opens and clicks on a placement. Sponsors never receive your email address or other personal data. Legal basis: legitimate interest in funding the publication.
  • To comply with legal obligations and enforce our terms. Legal basis: legal obligation and legitimate interest.

Who We Share It With

We share personal data only with the service providers that operate the publication on our behalf, under contracts that require them to protect it and use it only for our purposes:

  • Email delivery. Our email platform sends the newsletter and records delivery, open, and click events.
  • Analytics. We use Google Analytics for website measurement and a LinkedIn insight tag on certain pages for campaign measurement.

We do not sell your personal data, and we do not share it for cross-context behavioral advertising. We may disclose data if required by law or to protect our legal rights. If the publication is acquired, data may transfer as part of that transaction, subject to this policy.

International Transfers

Our service providers may process data in the United States and other countries. Where data is transferred out of the EU or UK, we rely on appropriate safeguards such as the EU Standard Contractual Clauses.

How Long We Keep It

We keep subscription data for as long as you remain subscribed and for a reasonable period afterward to honor suppression and unsubscribe requests. You can ask us to delete your data at any time. Aggregate, de-identified metrics that no longer identify you may be retained indefinitely.

Your Rights Under GDPR

If you are in the EU or UK, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data (the right to erasure).
  • Restrict or object to processing.
  • Receive your data in a portable format.
  • Withdraw consent at any time, which you can do instantly using the unsubscribe link in any email.
  • Lodge a complaint with your local data protection authority.

Your Rights Under CCPA

If you are a California resident, you have the right to:

  • Know what personal information we collect, use, and disclose.
  • Request deletion of your personal information.
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of personal information. We do not sell or share personal information, so there is nothing to opt out of, but you may confirm this with us at any time.
  • Not be discriminated against for exercising any of these rights.

To exercise any right, email privacy@thecoolingreport.com. We will respond within the timeframes required by applicable law. We may need to verify your identity before acting on a request.

Cookies and Email Tracking

Our website uses cookies and similar technologies for analytics and basic functionality. Our emails contain a tracking pixel that records opens and use tagged links that record clicks. You can disable cookies in your browser, and most email clients let you block remote images, which prevents open tracking. Note that Apple Mail Privacy Protection automatically loads images and makes open data unreliable, which is why we rely primarily on click data.

Security

We use reputable providers and reasonable technical and organizational measures to protect personal data. No method of transmission or storage is perfectly secure, but we work to protect your information and limit access to it.

Changes to This Policy

We may update this policy as our practices or the law change. When we do, we will revise the date at the top of this page. Material changes will be communicated through the newsletter.
